Terms and Conditions

TERMS & CONDITIONS

Uttar Pradesh Tour

Effective Date: January 1, 2025

1. Acceptance of Terms

By accessing or using our website, booking a tour package, or engaging with any of our travel services, you confirm that you have read, understood, and agreed to be bound by these Terms and Conditions. These terms apply to all visitors, registered users, and customers who purchase or inquire about our travel products and services.

If you are booking on behalf of a group or third party, you are responsible for ensuring that all members of your party are also aware of and agree to these terms. We reserve the right to update or modify these terms at any time without prior notice. Your continued use of our services after any such changes will constitute your acceptance of the revised terms.

2. Booking & Reservation Policy

2.1 How to Book

All bookings can be made through our website, over the phone, or via email. A booking is confirmed only upon receipt of a booking confirmation from us along with the required deposit payment. Verbal or informal confirmations do not constitute a valid reservation.

2.2 Booking Confirmation

Once your booking is confirmed, you will receive a written confirmation with your itinerary details, payment summary, and booking reference number. It is your responsibility to review all details carefully and notify us immediately if anything appears incorrect.

2.3 Minimum Age

Travelers below the age of 18 must be accompanied by a parent or legal guardian. Some specific adventure tours or experiences may have higher age restrictions, which will be clearly stated in the individual tour descriptions.

3. Pricing & Payment Terms

All prices listed on our website are in Indian Rupees (INR) unless stated otherwise, and are inclusive of applicable taxes at the time of publishing. We make every effort to ensure pricing accuracy, but errors may occasionally occur. In such cases, we will inform you promptly and give you the option to proceed at the corrected price or receive a full refund.

3.1 Deposit & Final Payment

A non-refundable deposit of 25% of the total tour cost is required at the time of booking to secure your reservation. The remaining balance is due no later than 30 days before the tour departure date. For bookings made within 30 days of departure, full payment is required at the time of booking.

3.2 Accepted Payment Methods

We accept the following payment methods:

Credit and debit cards (Visa, MasterCard, RuPay)

UPI (Google Pay, PhonePe, Paytm)

Net banking via secured payment gateways

Bank transfers (NEFT/RTGS) for group bookings above ₹50,000

We do not store your card or banking details. All transactions are processed through PCI-DSS compliant payment processors.

4. Cancellation & Refund Policy

We understand that plans change. Our cancellation policy is designed to be as fair as possible while also reflecting the costs we incur when a booking is cancelled. The following charges apply based on the number of days prior to departure:

More than 45 days before departure: 10% of the total booking amount

30 to 44 days before departure: 25% of the total booking amount

15 to 29 days before departure: 50% of the total booking amount

7 to 14 days before departure: 75% of the total booking amount

Less than 7 days before departure: 100% of the total booking amount (no refund)

Refunds, where applicable, will be processed within 7–14 working days through the original mode of payment. Please note that booking deposits are non-refundable under any circumstances. Certain special packages, festive tours, or promotional offers may have separate, non-flexible cancellation terms, which will be clearly communicated at the time of booking.

4.1 Cancellation by Us

In the unlikely event that we need to cancel a tour due to insufficient bookings, force majeure events, safety concerns, or government-imposed restrictions, we will notify you as early as possible and offer either a full refund or an alternative tour of equal value. We are not liable for any indirect losses such as flight tickets, visa fees, or hotel bookings made independently.

5. Changes & Amendments

5.1 Changes by You

Requests for changes to an existing booking — such as travel dates, tour type, or number of travelers — must be submitted in writing. We will do our best to accommodate changes, subject to availability. An amendment fee of ₹500 per person per change may apply, in addition to any price differences resulting from the modification.

5.2 Changes by Us

We occasionally need to make changes to published itineraries due to factors beyond our control, such as weather conditions, road closures, or supplier changes. We will always try to offer an equivalent or better alternative. If a significant change is made before departure, you will have the option to accept the modified itinerary or receive a full refund.

6. Travel Documents & Visa Requirements

It is entirely your responsibility to ensure that you hold valid travel documents, including passports (with sufficient validity), visas, and any other permits required for your destination. We strongly recommend that your passport be valid for at least six months beyond your planned return date.

While we are happy to provide general guidance, we cannot be held responsible for denied entry, visa rejections, or any losses arising from incorrect or incomplete documentation. For international tours, please check the visa requirements for your destination country well in advance.

Carry physical copies of all travel documents during your trip

Keep a digital backup of your passport, visa, and travel insurance

Some destinations require proof of vaccination — verify requirements before departure

7. Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance prior to departure. A good travel insurance policy should cover trip cancellation, medical emergencies, baggage loss, flight delays, and personal liability.

While we may offer or suggest insurance plans for your convenience, we are not insurance providers. The terms, claims process, and coverage scope are governed entirely by the insurance company you choose. We are not responsible for any claims, denials, or disputes between you and your insurer.

8. Health, Safety & Special Requirements

Your health and safety is our top priority. Please inform us of any medical conditions, physical limitations, dietary restrictions, or special requirements at the time of booking. While we will make every effort to accommodate your needs, certain tours may not be suitable for travelers with specific health conditions.

Travelers are responsible for consulting their doctor before undertaking adventure or high-altitude tours

We reserve the right to exclude any traveler from participating in activities that pose a safety risk to themselves or others

In case of a medical emergency during the tour, our team will provide immediate assistance; however, all associated medical costs will be borne by the traveler

Some destinations or activities may involve inherent risks such as altitude sickness, rough terrain, or water-based activities. By booking such tours, you acknowledge and accept these risks.

9. Code of Conduct

We expect all travelers to behave respectfully toward fellow travelers, tour staff, local communities, and the natural environment. Any behavior that disrupts the enjoyment of others or causes harm to people, property, or local culture will not be tolerated.

We reserve the right to remove any traveler from a tour without a refund if their behavior is deemed harmful, illegal, or disruptive. This includes but is not limited to intoxication, verbal or physical abuse, vandalism, or violation of local laws and customs.

10. Limitation of Liability

We act as an organizer and facilitator of travel experiences. While we carefully select our suppliers — including hotels, transport providers, and local guides — we cannot be held responsible for the acts or omissions of third-party service providers, including any injury, loss, delay, or additional expense caused by events outside our control.

Our liability in connection with any booking is limited to the total value of the booking amount paid to us. We are not liable for indirect, incidental, or consequential damages, including loss of income, emotional distress, or travel disruptions caused by force majeure events such as natural disasters, strikes, government actions, epidemics, or war.

11. Privacy & Data Use

We are committed to protecting your personal information. When you make a booking or register on our website, we collect only the information necessary to process your reservation and deliver our services. This includes your name, contact details, travel preferences, and payment information.

We do not sell, rent, or trade your personal data with third parties for marketing purposes. Your information may be shared with our trusted service partners (such as hotels, airlines, or guides) solely to fulfill your booking. For full details on how we handle your data, please refer to our Privacy Policy available on our website.

If the matter is not resolved to your satisfaction during the tour, please submit a formal written complaint to us within 28 days of your return.

We take all feedback seriously and aim to resolve complaints within 15 business days. In the event of a dispute that cannot be resolved amicably, both parties agree to seek resolution through mediation before pursuing legal proceedings. These terms shall be governed by the laws of India, and any disputes shall be subject to the jurisdiction of the courts in India.

14. Governing Law
